Part 1: Privacy Policy
1. Who we are
This website, harajukukitchen.co.uk, is operated by Harajuku Kitchen Limited (“Harajuku
Kitchen,” “we,” “us,” or “our”), trading as Harajuku Kitchen. Our registered/trading address is:
Harajuku Kitchen Bistro, 10 Gillespie Place, Edinburgh EH10 4HS
Phone: 0131 285 8182
Email: [email protected]
2. Scope of this policy
This policy explains how we collect, use, and protect personal data when you visit
harajukukitchen.co.uk or use the enquiry form on our Catering & Events page. It does not cover
the practices of third-party platforms we link to or use for bookings, takeaway orders, or gift
cards — those services have their own privacy policies, which we recommend you read
separately (see Section 6).
3. The personal data we collect
a) Catering & Events enquiry form
The main place we collect personal information directly on this website is the enquiry form on
our Catering & Events page. Depending on how the form is currently configured, this is likely to
include your name, email address, phone number, and details of your event (such as date,
guest numbers, and venue). [Please confirm the exact fields on the live form so this list is
accurate — I reviewed the page but the form itself is loaded dynamically and I could not read its
individual fields.] We use this information solely to respond to your enquiry and to plan and
deliver any catering or event you book with us.
b) Table bookings
Table bookings are not taken on this website directly — they are handled through a separate,
third-party booking platform. [Insert name of booking platform, e.g. ‘ResDiary,’ ‘SevenRooms,’
‘OpenTable,’ etc.] When you book a table, the information you provide is collected and
processed by that platform under its own privacy policy, not this one. We receive your booking
details (such as name, contact details, and party size) from the platform in order to prepare for
your visit.
c) Takeaway orders and gift cards
Our website also links to ‘Order Takeaway’ and ‘Buy a Gift Card’ pages. Based on my review of
the site, these also appear to route to third-party ordering/payment platforms rather than
collecting data directly on harajukukitchen.co.uk. [Please confirm this and name the platform(s)
if so — e.g. Deliveroo, Just Eat, a card/gift-voucher provider, etc.] If that’s correct, the same
principle applies: those providers process your data under their own privacy policies.
d) Automatically collected information (cookies and analytics)
When you visit our website, certain information may be collected automatically via cookies,
including Google Analytics. See Section 5 (Cookies) below for full detail, including how to
control this.
4. How we use your data and our legal basis
We use personal data collected via our Catering & Events form to:
- Respond to your enquiry and discuss your requirements
- Plan, quote for, and deliver any catering or event booking you make with us
- Keep records for accounting and legal compliance purposes
Our legal basis for this processing is (i) taking steps at your request prior to entering into a
contract with you, and (ii) our legitimate interest in responding to enquiries and running our
business. Where we would like to contact you for marketing purposes beyond your specific
enquiry, we will ask for your separate consent.
5. Cookies
We use a cookie consent banner that lets you choose which cookies to accept when you first
visit the site.
Strictly necessary cookies
These are required for the website to function (for example, to remember your cookie
preferences) and are set regardless of your choice in the banner.
Analytics cookies (Google Analytics)
If you accept analytics cookies, we use Google Analytics to understand how visitors use our site
(e.g. pages viewed, time on site) so we can improve it. If you decline or close the banner without
accepting, Google Analytics does not fire and no analytics cookies are set. You can change
your cookie choice at any time via the cookie settings link.
Google may process analytics data outside the UK/EEA. Where this happens, Google provides
appropriate safeguards (such as the UK International Data Transfer Addendum or EU Standard
Contractual Clauses). See Google’s own privacy policy for detail on how it processes Analytics
data.
6. Sharing your data
We do not sell your personal data. We may share it with:
- Our staff, on a need-to-know basis, to deliver your enquiry, booking, or event
- Third-party platforms you use directly for table bookings, takeaway orders, or gift cards
(see Section 3) - Service providers who support our website and operations (e.g. hosting, Google
Analytics), acting under our instructions - Regulators or authorities where we are legally required to do so
7. How long we keep your data
We keep enquiry and event data for as long as needed to deliver your event and for a
reasonable period afterwards for accounting and legal purposes [insert a specific retention
period once decided — e.g. ‘up to 7 years for financial records, in line with UK tax recordkeeping requirements,’ and a shorter period, e.g. ‘12 months,’ for enquiries that don’t turn into a
booking]. This is a placeholder — I’d recommend confirming an exact figure with a solicitor or
accountant rather than relying on my estimate.
8. Your rights
Under UK data protection law, you have the right to:
- Access the personal data we hold about you
- Ask us to correct inaccurate data
- Ask us to delete your data, in certain circumstances
- Object to or restrict certain processing
- Ask for your data in a portable format, where applicable
- Withdraw consent at any time, where processing is based on consent
To exercise any of these rights, contact us using the details in Section 1. You also have the right
to complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
9. Children
Our website and services are not directed at children, and we do not knowingly collect personal
data from children through our Catering & Events form.
10. Security
We take reasonable technical and organisational measures to protect the personal data we
hold. However, no method of transmission over the internet is completely secure, and we
cannot guarantee absolute security.
11. Changes to this policy
We may update this policy from time to time to reflect changes to our practices or for legal
reasons. The “Last updated” date at the top shows when it was last revised.
12. Contact us
If you have any questions about this policy or how we handle your data, contact us using the
details in Section 1.
Part 2: Terms of Use

By using harajukukitchen.co.uk, you agree to these Terms of Use. If you do not agree, please
do not use the site.

licensed to Harajuku Kitchen Limited and is protected by copyright and other intellectual
property laws. You may view and print pages for personal, non-commercial use only, and must
not reproduce, republish, or distribute content without our permission.
5. Accuracy of information
We try to keep menus, prices, opening hours, and location details up to date, but these may
change without notice, may vary by location or event, and may differ from what is shown on this
site at any given time. Please confirm details directly with us (particularly for allergens and
dietary requirements) before relying on them.
6. Third-party links and services
This site links to third-party services for table bookings, takeaway ordering, and gift cards. We
are not responsible for the content, terms, or privacy practices of these third-party services, and
your use of them is governed by their own terms.
7. Catering and event enquiries
Submitting the enquiry form on our Catering & Events page does not create a booking or
contract. A booking is only confirmed once we have agreed details (including date, menu, and
pricing) with you directly, in writing.
8. Liability
To the fullest extent permitted by law, Harajuku Kitchen Limited excludes liability for any indirect
or consequential loss arising from your use of this website. Nothing in these terms excludes or
limits liability for death or personal injury caused by our negligence, for fraud, or for any other
liability that cannot be excluded by law.
9. Governing law
These terms are governed by the law of Scotland, and any disputes will be subject to the
exclusive jurisdiction of the Scottish courts.
10. Changes to these terms
We may update these terms from time to time. Continued use of the website after changes are
posted means you accept the updated terms.
11. Contact us
Questions about these terms can be sent to us using the contact details in Section 1 of the
Privacy Policy above.
